Modelling and indexing professional documentation resources for services with high added value

Documentation center - Documentation management

The documentation resource centres possess a capital of knowledge, which is often underused. One of their current challenges is to enable all sections of the company to benefit from the expertise and quality information provided by the professional sources they manage from day to day.

Faced with the illusion of free, immediately accessible information, promoting the value of the professional documentation base and managing its reliability and complexity are the strengths of information professionals. Referencing content according to the dimensions specific to the various company specialisms (technological, legal, functional, economic, etc.) determines the usage that may result from it. Research workers increasingly fulfil the role of information dispatcher. They must help make internal knowledge more interdisciplinary and relate it horizontally across organisations.

A documentation search thus becomes a living entity, a shared knowledge base, populated and validated by various local experts. The various domain references (thesauri, taxonomies, dictionaries, authority lists) managed by the resource centres are required to ensure exhaustivity and objectivity in order to benefit any functional division wishing to implement a content or knowledge management project.

The company search engines need these references to ensure that the information silos can be interrogated in a homogeneous way.

The ITM solution meets these new challenges particularly well:

  • once the sources have been modelled and the documentation bases referenced according to the various specialist references, ITM makesinterrogation and navigation tools available throughout the set of bases contextualised within the issues for each specialism (represented by specialised taxonomies)
  • ITM enables questions, analyses used to produce answers and users to be connected within thematic knowledge bases in order to group communities of interests. These promote the creation of subjects horizontally with different branches (populated via forums, wikis or thematic blogs) and the packaging of targeted information.
  • ITM is non-intrusive towards the other documentation IS components. It is based on the W3C standards (XML, RDF, OWL, SKOS) and easy to integrate (API J2EE or Web Services)

Key functionalities

  • Management of multilingual thesauri, taxonomies and knowledge bases
  • Regular importing or updating according to normalised formats (Z39-19-2005, SKOS),
  • maintenance via web interfaces with collaborative work functions to validate and enrich reference material
  • Assisted indexing of multimedia documentation base
  • Multi-criteria semantic search
  • Alert mechanisms to set parameters for monitoring the evolution of reference material or knowledge bases
